Why this matters: Back-to-back meetings leave no time to catch up on notes, grab a drink, or simply move between locations. Outlook has a built-in setting that automatically shortens every event by a few minutes — either ending them early or starting them late — so you always have a natural breathing space in your day.
What this setting does
Once enabled, Outlook will automatically adjust the duration of new meetings and appointments in your calendar. You can configure separate buffers for:
- Short events (under one hour) — e.g. end 5 minutes early
- Longer events (one hour or more) — e.g. end 10 minutes early
The setting applies per email account, so if you have more than one Outlook account, you’ll need to configure it separately for each.
How to set it up
New Outlook (Windows) or Outlook on the Web
- Select Settings (the gear icon, top right) > Calendar > Events and invitations.
- Tick the Shorten duration for all events checkbox.
- Use the dropdown menus to choose how many minutes to shorten events under one hour, and events of one hour or longer.

- Click Save.
Once saved, this setting syncs across Outlook on Windows, Mac, the web, iOS, and Android — so you only need to set it once.
Classic Outlook (Windows desktop)
- Go to File > Options > Calendar > Calendar options.
- Tick the Shorten appointments and meetings checkbox.
- In the dropdown, choose either End early or Start late.
- Set your preferred number of minutes for short events and longer events.
- Click OK.
As with the new Outlook, this setting is then respected across all your Outlook platforms once applied.
