Guide overview

This guide will explain how to:

  • forward your University of York / Hull emails to your HYMS email account
  • forward your HYMS email to your University of York / Hull or NHS account
University of Hull emails may not always forward successfully

Due to enhanced security measures on the HYMS email system, there is a possibility that some mail forwarded from your Hull mailbox to your HYMS mailbox will not be delivered. We therefore suggest that you regularly check your Hull email account to ensure you have not missed any messages.

Please do not attempt to forward HYMS emails via Mailbox Rule

Mailbox Rule can result in your emails being categorized as SPAM. We have therefore turned off the ability to forward via Mailbox Rule. If you try and use this you will be presented with the fail message ‘insufficient permissions / could not create rule’. Existing rules will also not work via this set up.

How to forward your University of Hull emails to your HYMS email account
Forwarding University of Hull emails

  1. Open your browser in incognito mode.
  2. Log in to the University of Hull Microsoft 365 by clicking on the following link; www.office.com. You will need to enter your email address in the format “b.smith@hull.ac.uk”.
  3. Once logged in, Click on the “Outlook Tab” (left hand side of the screen) then click on the “Settings Cog” (at the top right), then click on the “View All Outlook Settings” (at the bottom of the screen).
  4. Select “Forwarding”.
  5. Tick “Enable Forwarding”.
  6. Enter your HYMS email address.
  7. Click “Keep a copy of forwarded messages”.
  8. Click Save, Forwarding will now be activated.

 

How to forward your University of York emails to your HYMS email account
Forwarding University of York emails

  1. Log in to the University of York’s Google Mail by clicking on the following link; http://mail.york.ac.uk/.
  2. Once logged in, click on the cog icon (top right), then click on ‘see all settings’.
  3. Click the ‘forwarding and POP/IMAP’ tab.forwarding tab gmail
  4. Click on ‘add a forwarding address’ and type your HYMS email address in the format  ‘hys123@hyms.ac.uk’.add forwarding email address
  5. Click on ‘next’ and then proceed to confirm the address. This sends an email to your HYMS account to verify that it is correct.confirmation forwarding email address added
  6. You will now need to go back to your HYMS email and find the confirmation email.
  7. Click on the link in the email, and you will see a confirmation success message.gmail success message
  8. Back in your York Gmail account, click on ‘verify’.
  9. Select ‘forward a copy of incoming mail to…’
  10. Choose your HYMS email address from the first drop-down menu.
  11. From the second box, choose ‘mark University of York mail as read’.
  12. Finally, click on ‘save changes’. Forwarding will now be activated.

How to forward your HYMS emails to an NHS or University of York / Hull email account
Forwarding HYMS emails

  1. Log in to your HYMS email account by clicking on the following link: https://www.office.com
  2. Once logged in, click on the settings cog.
  3. In the search engine, type ‘forwarding’.
  4. Click on ‘forwarding’.
  5. Click on ‘enable forwarding’ and enter the email address you wish to forward to.Forwarding option HYMS email
  6. Click on ‘keep a copy of forwarded messages’ if required.
  7. Click on ‘save’. Forwarding will now be activated.

Setting up mail forwarding
