This guide explains how to set up email forwarding between your HYMS account and your University of Hull, University of York, or NHS email accounts — so you can manage everything from a single inbox.

Hull forwarding reliability

Due to enhanced security filters on the HYMS email system, some messages forwarded from a Hull mailbox may not be delivered. We recommend checking your Hull account regularly to ensure nothing has been missed.

Do not use Mailbox Rules to forward HYMS email

HYMS has disabled email forwarding through Mailbox Rules because this method causes forwarded messages to be marked as spam. If you try to set up a forwarding rule, you will see the error: “Insufficient permissions / could not create rule.” Any forwarding rules you may have created previously will also no longer work. Please use the forwarding method described in Section 3 instead.

  1. Open your browser in Incognito or Private mode. (This prevents conflicts with any other Microsoft 365 accounts you may be signed into).
  2. Go to www.office.com and sign in with your Hull email address in the format: b.smith@hull.ac.uk
  3. Once signed in, select Outlook from the left-hand navigation, then click the Settings cog (top right).
  4. In the Settings panel, select Forwarding.
  5. Tick Enable forwarding.
  6. Enter your HYMS email address in the forwarding address field.
  7. Tick Keep a copy of forwarded messages to retain originals in your Hull mailbox.
  8. Click Save. Forwarding is now active

Forwarding your University of York emails to HYMS

York uses Google Mail (Gmail). The forwarding process involves a verification step to confirm ownership of your HYMS address.

  1. Go to mail.york.ac.uk and sign in with your York credentials.
  2. Click the Settings cog (top right), then select See all settings.
  3. Open the Forwarding and POP/IMAP tab.
  4. Enter your HYMS email in the format: hys123@hyms.ac.uk
  5. Click Next and confirm the address. Gmail will send a verification email to your HYMS inbox.
  6. Switch to your HYMS account and open the verification email from Google.
  7. Click the confirmation link in that email. You should see a success message in your browser.
  8. Return to your York Gmail settings. Click Verify next to your HYMS address.
  9. Select Forward a copy of incoming mail to… and choose your HYMS address from the first dropdown.
  10. In the second dropdown, select Mark University of York mail as read.
  11. Click Save changes. Forwarding is now active.

Please note

HYMS only allows forwarding to NHS, York and Hull Universities email address’s.

  1. Go to www.office.com and sign in with your HYMS credentials.
  2. Click the Settings cog(top right)
  3. Select Forwarding
  4. Tick Enable forwarding and enter the address you want to forward to.Forwarding option HYMS email
  5. If you want to retain copies in your HYMS mailbox, tick Keep a copy of forwarded messages.
  6. Click Save. Forwarding is now active

Staff and Tutors Only

If you would prefer IT to configure forwarding on your behalf, please complete the Mail Forwarding Request Form. You will need to be signed in with your HYMS account to submit the request.
