OpenCampus Portfolio: Recording absence

This article will explain how to record absence and submit planned absence requests for Phase I students in OpenCampus.

You must inform the school of any absences from the programme, which may be due to illness or other reasons.

For any planned absence that you are aware of in advance (e.g. conference attendance, planned surgery, family events), please use the Planned Absence Request Form to request approval from the Academic Phase Lead. Please allow a minimum of seven days for the approval process. You will receive notification of the outcome of your request by email.

To notify the school of any unplanned absence you have taken as a result of illness or other reasons, please use the Absence Notification Form.

Absence Notification Form

To notify the school of your unplanned absence, follow these simple steps:

  1. To access OpenCampus in your browser navigate to: https://opencampus.hyms.ac.uk
  2. Login with your HYMS username and password
  3. From the OpenCampus menu select Absence Requests. This is will take you to your absence requests page where you can submit a planned absence request form, or notify the school of an absence.

If the school is already aware of your absence, a member of the Programme Delivery team may have already initiated an Absence Notification Form. You will see this in your Absence Requests view with the status marked as action required by student. You will also receive an email notification stating an Absence Notification Form has been initiated on your behalf.

  1. Select Add new Absence Notification Form. This will add a new absence notification form to your record.
  2. Click edit and then complete the form. Please ensure you attach any supporting evidence to support your absence (for example, a doctors note).
  3. Click Submit request to complete the form.

Planned Absence Request Form

To request planned absence from the programme, follow these simple steps:

  1. To access OpenCampus in your browser navigate to: https://hyms.cloud.opencampus.net/
  2. Login with your HYMS username and password
  3. From the OpenCampus menu select Absence Requests. This is will take you to your absence requests page where you can submit a planned absence request form or notify the school of an absence.
  4. Select Add Planned Absence Request Form. This will add a new planned absence request form to your record.
  5. Click edit and then complete the form. Please ensure you attach any supporting evidence to support your request.
  6. Click Submit request to complete the form.

You will receive notification of the outcome of your request by email. The status of the absence request form will also be updated in OpenCampus.
