Completing MyProgress Time Sheets

This article provides an overview of the time sheets functionality in MyProgress.  HYMS Physician Associate students are expected to use the time sheets functionality to record the number of hours spent in clinical practice. You will need to complete time sheets using the app, as they need to be signed off by your educational supervisor. This is not possible if you complete a time sheet in the online system.

Completing a time sheet

  1. Open the MyProgress app and from the menu select the Timesheets (clock) icon. This will take you to the timesheets page.
  2. To add a time sheet, select the Location and Activity type (Attendance or Absence).

Although it is possible to enter a full week of practice hours, you do not have to. You are encouraged to get them signed off as often as possible, each day if you can.

  1. Select the week in which you are submitting hours. You can scroll left for earlier
    weeks.
  2. Use the plus and minus buttons to enter the hours and minutes for each day you attended clinical placement. You are expected to submit to the nearest quarter of an hour.
  3. Check the total of the hours and minutes, which is displayed for each day in the Total
    column.
  4. You now need to hand your device to a clinician/supervisor so they can approve the time you spent in clinical practice.

Note, if you are completing your timesheet at the end of the working day and your supervisor is not present, enter the name and NHS email address of the supervisor with whom you spent the majority of your clinical placement time, and they will receive an email message to verify your hours.

  1. The clinician approving the timesheet will need to enter their name and NHS email address.
  2. When the supervisor has approved the hours (and entered their details), submit them to your MyProgress ePAD. You will see a confirmation message at the top of the app confirming the hours were submitted.

Accessing your approved time sheets online

You’ll find all your approved (signed-off) time sheets in the online system. This is where you can keep track of your total number of hours in clinical practice.

  1. To access MyProgress ePad, navigate to: https://hyms.epads.mkmapps.com/
  2. Log in with your HYMS email address and password.
  3. In the menu, select Timesheets (the clock icon). This will open up the time sheets page. Here you will see the time sheets you have completed and overall calculation of the hours you have completed.

Timesheet Dashboard

From Version 8.7 (released April 2026) students gain access to a Dashboard – providing a personal overview of your timesheet data with interactive charts, summary statistics, and a complete record of all your hour entries.

To access your Timesheets Dashboard:

  1. Open the Timesheets section in the main navigation menu
  2. Select Dashboard

Dashboard Charts

The dashboard includes three interactive charts that help you visualise your timesheet activity:

Monthly Calendar Heatmap

A calendar view showing a heatmap of hours logged per day. Navigate between months using the previous and next buttons. Days with more hours appear darker, helping you identify patterns at a glance. The footer displays the total hours and the number of days on which hours were logged for the displayed month.

Hours Over Time

A daily bar chart showing how many hours you logged each day over a configurable period. Use the day range toggle to switch between 71430, or 90 day views. Days with no hours logged show as empty gaps, making it easy to identify periods of inactivity.

Category Breakdown

A bar chart showing total hours grouped by activity (e.g., Attendance, Absence). This chart also supports the 71430, or 90 day range toggle. A legend below the chart lists each activity name alongside its total hours.

Summary Panels

The right side of the dashboard shows summary panels that appear once you have timesheet data:

Timesheets by Type

Lists each timesheet type (e.g., NMC Practice Hours) with its entry count, total recorded hours, target hours, and a progress bar showing completion.

Programmes

Shows your programme enrolments with entry count, recorded hours, target hours, progress bar, and programme dates. The first three are displayed, with the option to expand to see all.

Placements

Shows your placement allocations with entry count, recorded hours, target hours, and the placement date range. The first three are displayed, with the option to expand to see all.

All Entries Table

Below the charts and summaries, the dashboard displays a sortable, paginated table of all your hour entries – including both weekly timesheet entries and manual adjustments.
