MyProgress MB BS Phase I portfolio: PBL and CS Tutor guidance

This guide provides an overview of the MB BS Phase I MyProgress portfolio, including how to access MyProgress and how to complete a Clinical Skills Reflection form.

Logging into MyProgress

Follow the steps below to learn how to access MyProgress.

Logging into MyProgress

  1. To access MyProgress navigate to: https://hyms.epads.mkmapps.com/

Please do not try to find the HYMS MyProgress platform via a general internet search. This will show results from many other different institutions that also use MyProgress.

  1. Click on Sign In and then Login with your University Account. When prompted enter your Hull York Medical School email address (hy****@hyms.ac.uk) and password. You will need to further authenticate via Multi-Factor Authentication (MFA). Please access the following link to our MFA help pages for further guidance; MFA help pages.

Navigate the MyProgress online platform

The MyProgress dashboard provides an overview of student progress, allowing you to quickly see how each student is progressing with their portfolio requirements for the current block. A list of all students assigned to you will be displayed, along with key indicators of their engagement and progress

  1. Selecting Student Cohorts/Groups – If you supervise students in multiple PBL or Clinical Skills groups, you can switch between groups using the drop-down menu. The dashboard will then display the students you’re supervising in the selected group.

  1. Searching for Students – Use the search box to quickly find students on the dashboard.

  1. Accessing Portfolios – Click on a student’s name to access their portfolio.

  1. Tracking Portfolio Progress – Next to each student’s name, you’ll see a tally of completed portfolio forms for each block. Each icon on the dashboard represents a portfolio activity the student needs to complete. The completion target (at the top-right of the icon) for each portfolio form indicates the number of forms the student is required to complete for that block.

  1. Logging Out – To log out, click the padlock icon located in the top right-hand corner of the screen.

Portfolio requirements

The portfolio requirements for each block in Phase I are as follows: Clinical Skills Reflection form, Clinical Skills End of Block form, Clinical Placement Reflection form, and Clinical Placement End of Block form.

The references within the squares on the dashboard indicate the associated form. Hovering your mouse over each area will reveal the form name:

  • CSR – Clinical Skills Reflection form (1 form for each week of the block)
  • CSEOB – Clinical Skills End of Block form (1 form to be completed at the end of the block)
  • CPR – Clinical Placement Reflection form (2 forms per block, 1 in primary care and 1 in secondary care)
  • CSEOB – Clinical Placement End of Block form (1 form to be completed at the end of the block)
  • ACS – Annual Clinical Skill form (only available in Y1 block 04 and Y2 block 12)

Accessing a student’s portfolio

Follow the steps below to learn how to access a student’s portfolio in MyProgress.

Accessing a student's portfolio

You can access a student’s portfolio from the dashboard in one of two ways:

  1. You can select an individual form icon on the dashboard to be taken to that section of the portfolio.

  1. Or you can also select the name of the student to be taken to their portfolio homepage.

The portfolio homepage has three sections:

  • Profile information (1) – this displays information about the student – such as their name and email address (as well as a profile picture if they have uploaded one).
  • Placement information (2) – this displays information about the student’s current placement, which includes the duration and clinical placement site.
  • Portfolio (3) – this is where you can access the forms that the student has completed.

The portfolio is structured by block. In the Year 1 portfolio, you will see blocks 1 to 8, plus sections for the PBL and CS peer review activities. In the Year 2 portfolio you will see blocks 09 to 15, plus sections for the PBL and CS peer review activities.

Each block has specific dates during which it will occur, and the portfolio forms for that placement will only be accessible within that time frame. You can click on each block to access the associated portfolio forms.

Within each block the portfolio forms are broken down into two sections, Clinical Skills Reflection Forms and Clinical Placement Reflection Forms. You can click on the tabs to switch between the two sections.

To view the forms the student has completed, click on the form. Here you will be able to access and review the forms that the student has completed.

Providing feedback on a Clinical Skills Reflection form

Follow the steps below to learn how to provide feedback on a student’s Clinical Skills Reflection form.

Clinical Skills Reflection form workflow

Clinical Skills tutors are required to provide feedback on the Clinical Skills Reflection forms submitted by the students they are supervising. You do not need to be logged into the system to do this.

After completing a Clinical Skills Reflection form, the student will enter the details (name and email address) of their Clinical Skills Tutor.

Once submitted, MyProgress will automatically send an email to the named Clinical Skills Tutor. This email will include a link to the student’s Clinical Skills Reflection form. The Clinical Skills Tutor can click on the link in the email to open the form and provide feedback.

Follow these steps to provide feedback on a student’s clinical skills reflection form:

  1. When the student submits a clinical skills reflection form, you will receive an email from MyProgress containing a link to the student’s submission (see image below). This will be sent to the email address the student entered when submitting the form. Students have been advised to send Clinical Skills Reflection forms to their Clinical Skills Tutor’s HYMS email account.

  1. The link in the email will open the Clinical Skills Reflection form in a browser. Before accessing the form, you’ll be prompted to enter the email address the student provided when submitting their reflection.
  2. You can then review the reflection made by the student. Under the heading titled ‘To be completed by the tutor’, enter a grade and provide the student with some feedback.

  1. To complete the form, click on Submit in the top right-hand corner. A confirmation pop-up will appear – simply confirm to complete the submission.
