Pre-registering Multi-Factor Authentication on your HYMS account

Setting up Multi-Factor Authentication (MFA)

This article explains how you can prepare for the rollout of Multi-Factor Authentication (MFA) and pre-register your MFA security methods before this becomes mandatory for your account.  By pre-registering you will ensure your account is then ready for when MFA is required on your HYMS account.

To enable Multi-Factor Authentication (MFA), you will need the following:

  • A computer, such as desktop/laptop PC or Mac, which will be used to set up your MFA account
  • A mobile phone, which will be used to approve access
  • The Microsoft Authenticator App installed on your mobile phone
  • Your HYMS login details

You are required to setup two authentication methods. We strongly recommend that you use the default options when setting up MFA, which are to use the Microsoft Authenticator App and to setup your phone (Call\SMS) as the second method of authentication.

How to pre-register your authentication methods

Follow these simple steps to pre-register you authentication methods on your HYMS account.

This can be done either via:

  • A browser (Edge/Chrome) on a computer and the Microsoft Authenticator App
  • or just the MS Authenticator App on your phone/tablet

Please be aware that completing the pre-registration process will not enable MFA on your account. We will email you to inform you of the date when MFA will be enabled on your account.

Via a browser on a computer

Step 1 – Install the Microsoft Authenticator app on your mobile device

To download the Microsoft Authenticator App on your phone please visit either the Google Play or Apple Store:

Important: To use the app you will need to enable notifications and camera access. You will be prompted to do this when you install the app on your device.

Step 2 – Setup the Microsoft Authenticator app (method 1)

You will need to complete some of these steps on your computer and some on the Microsoft Authenticator App.

Open your web browser on your computer and log into https://aka.ms/mfasetup with your HYMS account.

Click Next to setup additional security information.

 

Click Next on your computer to confirm you have installed the Microsoft Authenticator App on your mobile phone (Step-1 above):

You should not setup authentication on a device you share with anyone else (for example a shared family device)

Click Next on your computer and the following screen will be displayed:

Open the Microsoft Authenticator App (on your mobile phone). Click on the ellipses (Android) or plus (+) icon (Apple) in the top right hand corner of the app, to add your account:

Select Work or School account and then Scan QR code:

With your mobile phone scan the QR code that appears on the computer screen with the Authenticator app and then click Next. At this point it will send a notification to your phone asking you to approve your authentication. When you scan the QR code the following message will appear.

Setup Issues:If you have a problem at this stage, it is usually because you took too long between adding the HYMS account to the MS Authenticator App on your phone and testing if the Authentication method works.
To recover do the following two things:

  • Delete the newly added HYMS account in the MS Authenticator App
  • Go back (using the back key) with MFA registration until you get to “Start by getting the app” then continue from there.

Once you approve the notification the screen will change to:

Click Next

Then Done.

Your browser will then ask you to authenticate your HYMS account via the method you have just setup. Your Securityinfo screen will then appear, where you should add one additional method of Authentication.

Step 3 – Setup phone authentication (method 2)

Staying within Security info

Click on + Add method

And then choose “Phone” from the drop down list.

Click Add

Enter the details of your Country and Mobile Phone Number and select whether you would prefer to authenticate via a text message (option 1) or a phone call (option 2).

Option 1 – Text me a code

If you chose Text me a code, you will receive a text message containing a 6-digit code which you will need to enter into your computer, and then select Next:

Once you have entered the 6-digit code your phone will be registered as your second method of authentication. Select Next to complete the setup

Option 2 – Call me

If you select ‘Call me’, you will receive a phone call. To complete the verification process press the # key.  You will then see the following confirmation:

Via MS Authenticator App on your phone/tablet

When you use this method you can add the MS Authenticator App as an authentication method on your HYMS account within the phone/tablet without the need for a computer.

Step 1 – Install the Microsoft Authenticator app on your mobile device

To download the Microsoft Authenticator App on your phone – please visit either the Google Play or Apple Store:

○     Google Play Store – MS Authenticator 

○     Apple App Store – MS Authenticator

Important: To use the app you will need to enable notifications, camera access and location data. You will be prompted to do this when you install the app on your device.

Step 2 – Setup the Microsoft Authenticator app (method 1)

Open the Microsoft Authenticator App (on your mobile phone). Click on the ellipses (Android) or plus (+) icon (Apple) in the top right hand corner of the app, to add your account:

 

 

Select Work or School account then Sign in (rather than Scan a QR Code).

Within Pick an account to continue, either choose your HYMS account or click on the + Use another account to add your HYMS account.

You will be taken to the Office 365 sign in page. Sign in with your HYMS account (if not signed in already).

Once signed in click Next to be taken to the website aka.ms/mfasetup within your phone’s browser.

Ensure you select the correct account (if you have more than one Office365 account ensure it’s your HYMS account rather than another institutions).

You will be asked to re-login using your HYMS username and password.

Once logged click Next to set up additional security information.

 

 

You should not setup authentication on a device you share with anyone else (for example a shared family device)

Click Next in the browser and the following screen will be displayed:

Click on “Pair your account to the app by clicking this link”.

This will take you back to the Authenticator App on your phone. You should now see your HYMS account listed (at the bottom of the screen).

Quickly return to your Browser App on your phone and click Next. At this point it will send a notification to your MS Authenticator App on your phone asking you to approve your authentication.

Setup Issues:

If you have problems approving your authentication then

  • Delete your HYMS account within the MS Authenticator app
  • Go back to “Pair your account to the app by clicking this link” with MS Authenticator App.

This problem is due to there being too long a time gap between you adding your HYMS account to your MS Authenticator App and checking the Authenticator App approval process worked.

If successful you will get the following screen.

Click Next to continue

Click on Done

Step 3 – Setup phone authentication (method 2)

Staying within Security info

Click on ‘+ Add method

And then choose ‘Phone’ from the drop down list.

Click Add

Enter the details of your Country and Mobile Phone Number and select whether you would prefer to authenticate via a text message (option 1) or a phone call (option 2).
