Written guidance

Upon logging in, the MyProgress homepage will be displayed. From here, you can access your MB BS portfolio and the activities you ae required to complete. The homepage displays the following sections:

MyProgress Year 1 homepage

  • Profile information (1) – this displays information about you – such as your name and email address (as well as a profile picture if you have uploaded one). The only part of your profile you can update is your profile picture. We recommend you upload a profile picture, as this will assist tutors who are reviewing your portfolio. Please ensure that the image you upload is clear and meets the professionalism requirements expected of a Medical student.
  • Placement information (2) – this displays information about your current placement, which includes the duration and clinical placement site.
  • Portfolio (3) – click on this section to see displayed links to all forms for each block of study and each peer review instance (forms to submit either to the MyProgress app or via the online system).

Accessing Portfolio forms

Click on the Portfolio section from the MyProgress homepage to access forms for each block of study and each peer review instance.

The below image is of an overview of Year 1 Portfolio forms. The Year 2 Portfolio overview will display the blocks undertaken in that year of the programme. For example, Block 09 Disease processes and Block 10 Kidney Function and Failure.MyProgress Year 1 overview of forms

During Year 1 and 2 of the MB BS programme, you will use MyProgress to complete Clinical Skills Reflection forms and Clinical Placement Review forms, as well as to provide feedback to peers in your Clinical Skills and PBL groups.

Each block has specific dates during which it will run, and the portfolio forms for that block will only be accessible within that timeframe.

Click on a section to see forms for a block of study or peer review instance.

For block forms, the forms are broken down into two sections: Clinical Skills Reflection Forms and Clinical Placement Review forms.Phase I CS and CP form tabs

Viewing completed Portfolio forms

From the MyProgress left-hand side menu, you can select the link to be taken to the Responses page.Phase 1 responses link

The Responses page displays a list of the forms you have completed in chronological order.

It is possible to check from the Responses list that Clinical Placement Review forms completed on the app have synced with the online system.

Complete forms via the MyProgress online platform

Follow the instructions below to complete forms via the online platform.

Clinical Skills Reflection form
Clinical Skills Reflection form workflow

Each week for Clinical Skills you are required to complete a weekly reflection. Your Clinical Skills tutor will review each form you submit and provide you with a grade and constructive feedback on your performance. Ensure to use your Clinical Skills tutor’s HYMS email address on the form.

  1. Log in to the online platform. As explained above, from your portfolio homepage navigate to the current block you are studying.Year 1 block
  2. Under the red Clinical Skills Reflection Forms heading, click on the complete new option on the Clinical Skills Reflection tab.Phase 1 CS complete new form option
  3. This will open a Clinical Skills Reflection form in a new window.Phase 1 CS form
  4. Select the relevant week of the block from the drop-down menu.
  5. Now specify if you attended the session. You still need to complete the form, even if you didn’t attend the session. However, you are not required to provide a reflection.
  6. In the text box provided, reflect on your experiences during that week’s Clinical Skills session.

    Your reflection should include:

    • what you have done
    • what you have learnt
    • what you need to learn

    Below is an example reflection.

    What you have done

    Our tutor went over the Calgary-Cambridge framework with us and we learnt the difference between open and closed questions. We also learnt that when we give feedback we need to describe it well in specific terms. This is so that the person doing the interview can learn from it.

    We then took it in turns to talk to the simulated patient and gave feedback to the interviewing student.

    What you have learnt

    I learnt how to use open and closed questions and also to try to structure the consultation using the C-C framework. It was good to talk to the simulated patient and start practising before we saw real patients, as we could keep on going over various points with different students and in different ways.

    I was nervous before I went into the room with the SP and then I was anxious about what the other students would say. My feedback from them did cover some points I did well, such as my introduction, but I also learnt that I fidgeted a lot and used my hands a lot when talking. Also trying to think of the C-C structure and what to ask the SP, as well as listening to their answers, was quite difficult.

    What you need to learn

    I will try and get a structure in my mind of questions to ask so that I can listen to what the patient says and also respond to their questions. I will practise talking to a real patient on placement next week. It will be good to try and use what we have learnt today.

  8. You can delete a form in progress by selecting to delete in the top left-hand corner of the form.
  9. email for later optionWhen you are ready to submit the form to your Clinical Skills tutor, select the email for later option in the top right-hand corner of the form.
  10. Enter the details of your Clinical Skills tutor in the name and email field. You do not need to enter anything into the message field. Ensure to use your Clinical Skills tutor’s HYMS email address.email for later fields
  11. Select to submit in the top right-hand corner.Submit option
  12. Confirm again and select ok.
  13. submission confirmationYou will be redirected back to the Clinical Skills Reflection tab and a successful submission message will briefly appear in the bottom right-hand corner.
  14. Phase 1 email pending CSR formOnly forms that have had both the student and tutor sections completed can be viewed under the Clinical Skills Reflections tab. Access a record of a form awaiting tutor completion via the email option on the Clinical Skills Reflection tab.
  15. Your tutor will get an email link to the Clinical Skills Reflection form. From a browser they will provide a grade and feedback.
  16. The completed form will disappear from the email record and become visible via completed responses under the Clinical Skills Reflection tab. The tally of forms on the tab will update with the latest number of completed form responses.Phase 1 completed CSR form tally

Change the named tutor or send a reminder email on a Clinical Skills Reflection form

You may need to change the named tutor or send a reminder email on a Clinical Skills Reflection form. You may need to do this if, for example, you initially enter an incorrect email address or the wrong tutor details.

  1. A record of an email for later form can be accessed via the email option on the Clinical Skills Reflection tab.Phase 1 emailed CSR form
  2. From the drop-down options next to an email record, change the recipient or send a reminder email, (or delete a form).MyProgress email reminder
  3. Select send reminder to email the tutor again.
  4. Select change recipient to send the form to a different tutor. Fill in the name and email address of the tutor in the new window. Ensure to use your Clinical Skills tutor’s HYMS email address.Phase 1 CSR form send to new tutor
  5. Select to send email. A ‘successfully changed recipient’ message will briefly appear.
  6. The new tutor will get an email link to the Clinical Skills Reflection form, as described above.
Clinical Skills End of Block form

Clinical Skills End of Block form workflow

At the end of each block you are required to complete an overall reflection of your Clinical Skills sessions. The aim of this form is for you to reflect on the progress you have made throughout the block and to identify points to work on in the next block.

Your Clinical Skills and PBL tutor will have access to these reflections but they are not required to action anything. However, they may be discussed in your Clinical Skills and PBL review meetings.

  1. Log in to the online platform. From your portfolio homepage navigate to the current block you are studying.Phase 1 block

  4. In the text boxes provided, reflect on what improvements you have made during the block and identify the things that you need to focus on in the next block.
  5. If at this point you choose to save and close the form, you will be redirected back to the Clinical Skills End of Block tab. You can select complete new and choose to access the draft again.MyProgress draft form
  6. You can delete a form in progress by selecting to delete in the top left-hand corner of the form.
  7. Submit optionSelect to submit in the top right-hand corner.
  8. Confirm again and select ok.

Clinical Placement End of Block form

Clinical Placement End of Block form workflow

At the end of each block you are required to complete an overall reflection on your clinical placements. The aim of this form is for you to reflect on the progress you have made throughout the block and to identify points to work on in the next block.

Your PBL and Clinical Skills tutor will have access to these reflections but they are not required to action anything. However, they may be discussed in your Clinical Skills and PBL review meetings.

    4. In the text boxes provided, reflect on what improvements you have made during the block and identify the things that you need to focus on in the next block.

Annual Clinical Skills forms

Annual Clinical Skills form workflow

You are required to complete an Annual Clinical Skills form in your 4th block of study. For Year 1 students the 4th block is the Immune System. For Year 2 the 4th block is Neurological, Neuromuscular and Musculoskeletal.

Your Clinical Skills tutor will review your submitted form and enter a grade and constructive feedback on your performance. Ensure to use your Clinical Skills tutor’s HYMS email address.

  1. Log in to the online platform. From your portfolio homepage navigate to your current block of study (your 4th block of study).Phase 1 Block 4
  2. Under the red Clinical Skills Reflection Forms heading, click on the complete new option on the Annual Clinical Skills form tab.Phase 1 Annual CS form
  1. This will open an Annual Clinical Skills form in a new window.Phase 1 Annual Clinical Skills form new form
  2. In the text box provided, enter your reflection on your overview of your development.
  3. If at this point you choose to save and close the form, you will be redirected back to the Annual Clinical Skills tab. You can select complete new and choose to access the draft again.Phase 1 Clinical Skills form draft.
  4. You can delete a form in progress by selecting to delete in the top left-hand corner of the form.
  5. When you are ready to submit the form to your tutor , select the email for later option in the top right-hand corner of the form.MyProgress email for later option
  6. Enter the details of your tutor in the name and email field. You do not need to enter anything into the message field. Ensure to use your Clinical Skills tutor’s HYMS email address.Phase 1 CS form
  7. Select to submit in the top right-hand corner.Submit option
  8. Confirm again and select ok.
  9. You will be redirected back to the Annual Clinical Skills tab and a successful submission message will briefly appear in the bottom right-hand corner.Submit confirmation
  10. Only forms that have had both the student and tutor sections completed can be viewed under the Annual Clinical Skills tab. Access a record of a form awaiting tutor completion via the email option on the Annual Clinical Skills tab.Phase 1 email pending CSR form
  11. Your tutor will get an email link to the form. From a browser they will provide their tutor overview, a grade and the agreed overview of development needs.
  12. The completed form will disappear from the email record and become visible via completed responses under the Annual Clinical Skills tab. The tally of forms on the tab will update with the latest number of completed form responses.Phase 1 Annual Clinical Skills completed response tally

Change the named tutor or send a reminder email on an Annual Clinical Skills form

Clinical Placement Review form workflow

For each block, you are required to complete two Clinical Placement Review forms on the MyProgress app – one for Primary and one for Secondary Care.

Your Clinical tutor will feedback on the form about your performance and engagement in clinical practice. You can capture feedback on your performance ‘in the moment’ at any point during the block.

  1. Once you have logged into the MyProgress app, select the Clinical Placement Review form tab from the app homepage.Phase 1 CP app form 1

  3. In the text box provide a brief summary of the session.
  4. Select the relevant setting from the drop-down options.
  5. Select the relevant assessor role from the drop-down options.
  6. Hand your device to your Clinical tutor. They will provide you with feedback on how you can improve and areas you performed well. They will also select a grade. They will then need to sign the form and provide their name and NHS email address.
  7. Click on submit to complete the form.Phase 1 app form submission

  9. You will be redirected back to the app homepage. A brief green success message will appear to confirm submission.Phase 1 app form submitted
  10. The Clinical Placement Review form tab will update to reflect the latest tally of completed forms.CP tally update on app
  11. Your tutor will receive an email confirmation that they completed the form with you. The completed form will be visible to you via completed responses under the Clinical Placement Review form tab via the online portfolio system.Phase 1 CP form online approved

You can view your tutor’s feedback by opening the form in the online system.
