OpenCampus: MB BS Phase 2 guide to the online portfolio and completing portfolio forms

Guide overview

This guide will explain the following;

  • an introductory overview of the MB BS phase 2 OpenCampus portfolio
  • guidance on forms to complete for the portfolio and how to complete them (from the OpenCampus portfolio in a web browser or from the OpenCampus app).

An introductory overview of the MB BS Phase 2 OpenCampus portfolio

The primary purpose of the portfolio is to underpin your formative development and provide and document feedback from your clinical tutors. In addition, it provides a format for you to document your progress and participation in the MB BS programme. Completion of the portfolio is your responsibility and a completed portfolio is a requirement for progression, and to enter the end of year summative assessments .Your tutor is responsible for completing your entries in a timely fashion, with your assistance, and you should expect honest feedback that can be used to help your development.

This help page is a practical guide and should be read in conjunction with the phase 2 handbook (available on Blackboard).

Guidance on forms to complete for the portfolio and how to complete them (from the OpenCampus portfolio in a web browser or from the OpenCampus app).

To complete forms, you will need to know how to access you portfolio from a web browser and also how to access the OpenCampus app. Some forms will be completed on the app, some will be completed on the browser.

Access your portfolio through a web browser

Firstly, access the following link to log in to OpenCampus: https://opencampus.hyms.ac.uk/. Authentication is via HYMS Office 365 account details. Enter your HYMS email address (in the form hyxxxx@hyms.ac.uk).Then enter your HYMS password.

  1. Click on the OpenCampus menu tab in the top left-hand corner.
  2. Click on the portfolio tab that will appear underneath.OpenCampus portfolio tab
  3. You will now see your portfolio homepage.
  4. Under each placement tab you will see a list of relevant forms.OpenCampus placement tab
  5. When you click on a category of form you will see a visual indication of your progress (how many forms you have completed and how many are still required), and will also be able to view the detail of forms that you have submitted.
Access portfolio forms through the app

Please view the OpenCampus app help page. This page will explain how to install and connect your HYMS account to the app.

Forms to be completed from the OpenCampus browser only

  • Clerking forms
  • Student reflections
  • OSLERs
  • Clinical placement review form
Clerking forms
  • Your educational supervisor reviews the clerkings, provides feedback and grades them online in OpenCampus (Excellent, Pass, Fail, Serious Fail).

Before starting a form you must make sure that you have obtained the patient’s consent (for the interview, examining him or her, and for keeping a record) and record the consent in the hospital or GP notes. OpenCampus will prompt you to confirm that patient consent has been given. 

Your clinical placement review form is populated with confirmation of clerking completion and a link to your submitted clerking form.

  1. Select the clerkings tab underneath the relevant placement tab.
  2. Select to edit the relevant form, to the right of the title of the listed form (click on the image to enlarge it).OpenCampus edit tab
  3. Complete all of the fields in the form.
  4. If you are happy with all content and are ready to submit, select submit.
  5. You will see a final warning message; ‘this action cannot be undone and you cannot change the form later. Do you want to submit?’. Select ok.
  6. You will be redirected to the portfolio homepage and will see a success message at the top of the page, stating that a form has been updated.
  7. Navigate back to the form from the relevant placement tab/ clerkings tab.  You will see the form will now have the ‘action required by the educational supervisor’ icon.
  8. Your educational supervisor will then review the clerking, provide feedback and a grade.
  9. Once they have done this, the form status will update to a green ‘complete’ tick.OpenCampus green tick icon
Student reflections
Further information about the short reflections you will complete as part of your portfolio, including what is expected in terms of length and number of reflections, can be found in the Ethics and Professionalism area of the Year 3 and Year 4 courses on Blackboard.
For each placement, you will submit reflections on recent events involving yourself and interactions with patients and / or members of clinical staff (again see the Ethics and Professionalism area of the Year 3 and Year 4 courses on Blackboard for further information about what is required).
Your tutor will review a sample of your reflections and will provide verbal feedback regarding these at your end of block review meeting.
Your clinical placement review form is populated with confirmation of your completed reflections and a link to your submitted forms.
  1. Select the reflections tab underneath the relevant placement tab.
  2. Select to edit the relevant form, to the right of the title of the listed form.
  3. Complete all of the fields in the form.
  4. If you are happy with all content and are ready to submit, select submit.OpenCampus reflection form
  5. You will see a final warning message stating that you cannot change the form later. Select ok.
  6. You will be redirected to the portfolio homepage and will see a success message at the top of the page, stating that a form has been updated.
  7. Navigate back to the form from the relevant placement tab / reflections tab. You will see the form will now have the green tick ‘complete’ icon. You can click on view to review submitted content.OpenCampus form view option
OSLERs
  • Your tutor will complete the paper form at the OSLER and hand it to you. After the OSLER event you will scan / photograph the paper copy and upload the image into the OSLER form from OpenCampus in a browser. You will also manually copy the grades from the paper OSLER form and enter your tutor name.

Your clinical placement review form is populated with confirmation of your OSLER completion and a link to your submitted forms.

  1. Select the OSLERs tab underneath the relevant placement tab.
  2. Select to edit the relevant form, to the right of the title of the listed form.
  3. Upload the image file you have taken of your paper OSLER form.OpenCampus file upload option
  4. Complete all of the fields in the form, choosing from the drop-down menus for each field. Refer to your paper OSLER form to enter this information accurately.
  5. Manually enter the name of your OSLER tutor.
  6. If you are happy with all content and are ready to submit, select submit.
  7. You will see a final warning message; ‘this action cannot be undone and you cannot change the form later. Do you want to submit?’. Select ok.
  8. You will be redirected to the portfolio homepage and will see a success message at the top of the page, stating that a form has been updated.
  9. Navigate back to the form from the relevant placement tab / OSLER tab. You will see the form will now have the green tick ‘complete’ icon. You can click on view to review submitted content.OpenCampus form view option
Clinical placement review form
  • The clinical placement review form is to be signed off on OpenCampus by your educational supervisor at the end of each block (one per block), during the clinical placement review meeting with you. You will receive an OpenCampus generated email reminding you to read the completed form and advise the programme delivery team of any queries you have.

Your clinical placement review form is populated with the number of case based discussions, reflections, clerkings, and OSLER forms submitted, and links to relevant forms.

  1. Select the clinical placement review form tab underneath the relevant placement tab.
  2. Before your meeting the form will have the status of ‘action required by educational supervisor / in progress’.OpenCampus to be completed form status
  3. Once completed by your supervisor after / during your meeting, the form will change status to the green tick ‘complete’ status.
  4. Select to view the relevant completed form, to the right of the title of the listed form. Read the completed form and advise the programme delivery team of any queries you have.OpenCampus form view option

Forms to be completed from the OpenCampus app

  • Case based discussions
  • Clinical supervisor feedback 

Case based discussions  
  • You will enter the case description details into the CBD form using the app and pass your phone/ iPad to your assessor .You will discuss the case and your assessor will provide grades to questions from drop-down menus, and feedback. They will also provide their name, NHS email address and signature. They will then submit the form. These forms will appear online in your OpenCampus portfolio.

Your clinical placement review form is then populated with the number of CBDs submitted and links to the submitted forms.

  1. Please view the OpenCampus; completing clin skills help page. The process for submitting a portfolio form from the app is very similar to the process for submitting a clinical skills form from the app, except that the form will appear in your portfolio rather than your dashboard, once sent from the app.
Clinical supervisor feedback 
  • Clinical supervisor feedback forms facilitate ‘opportunistic’ feedback ‘at the time’ (on any observed clinical activity) from clinical supervisors in secondary care, using the OpenCampus app. This activity and feedback can then be reviewed by yourself and your educational supervisor.
  • You will pass your iPad / mobile to your reviewer who will complete details of what was observed and provide feedback.  LIC students will need to enter the block name.
  • Your reviewer will complete their name, job role, email address and signature. They will then submit the form. These forms will appear online in your OpenCampus portfolio. Your reviewer will receive a confirmation email stating that they have provided feedback.
